    Secure E-mail Communication (Secure Messaging) at Boehringer Ingelheim

    General Information

    When e-mail is transmitted over the Internet it is usually in plain text. E-mail in plain text can be read by anyone if it is intercepted. Alternatively, when transmitted over the Internet, e-mail can be protected using encryption. Encryption scrambles the content of the e-mail, so if is intercepted, it can´t be read by unauthorized recipients. The e-mail is secure and only readable by the intended recipient.
    Boehringer-Ingelheim requires that confidential information must be exchanged securely with business partners when using e-mail.

    The Boehringer-Ingelheim Secure Messaging System

    The Boehringer-Ingelheim Secure E-Mail system is a platform used for secure e-mail exchange that does not require any special technical prerequisites (e.g. keys or certificates) in order to be used by external users. The platform is hosted internally at Boehringer-Ingelheim’s data centers in Germany. The system relays secure messages to and from Boehringer-Ingelheim and as a result, no e-mails are ever stored in the system. Additionally, an administrative console exists to administer the external accounts.


    The secure conversation is initiated by a Boehringer-Ingelheim employee. This is the only method to create an account for this system. External recipients are required to complete a one-time registration within the system before being permitted access. Registration data contains the recipients e-mail address, manually created password and a selected security question and is saved within the Boehringer-Ingelheim Secure Messaging system itself. Password information is not visible to any system administrators and / or system vendor.
    The security question is used for self-service purposes by external users to identify them to the system. The lifetime of an account is 365 days and is renewed with every new secure message or reply to an existing message. Expired accounts are automatically removed from the system without further notifications to the account owner. In cases where additional secure transmissions are required, then the account will once again need to be activated following the steps described earlier.

      Secure Messaging accounts are deleted after 365 days of inactivity
    • Password Properties
      Minimum length 8 characters, alpha/numeric (numbers and letters, must include at least one upper case, one lower case and one number)
    • E-mail Properties
      Message maximum size 6 MB (email + attachment)

    Important Note!

    The Boehringer Ingelheim Secure Messaging system will not store any e-mails. Boehringer Ingelheim will not be responsible for recovering any deleted e-mails.
